1. See what's actually in there
Open Downloads in Finder, switch to List view (⌘2) and use View → Use Groups, grouped by Kind. Installers, images, PDFs and archives each get their own section, which makes the mess manageable.
2. Delete the obvious clutter
Old .dmg and .pkg installers are the biggest waste of space: once an app is installed you never need them again. Sort by Date Added and move anything older than a month to the Bin.
3. Give everything else a home
A few folders cover almost everything people download:
- 1Documents for PDFs and Word files, split by year if you keep a lot of invoices or statements.
- 2Images and Screenshots, kept apart so screenshots don't bury real photos.
- 3Archives for .zip files you might need to unzip again.
- 4Installers only if you keep them on purpose; otherwise, the Bin.
4. Keep it that way
This is where tidy folders usually fall apart: in a month you're back to hundreds of files. macOS can run scripts on a folder with Automator Folder Actions, but you have to write and maintain them. TidyFile watches Downloads for you and sorts every new file with rules you set up in a minute.
The TidyFile rule
Documents by year
- When a file
- type is pdf, doc, docx
- Then
- move to Documents/{year}
Set it up once and TidyFile applies it in the background, to new files the moment they arrive. Preview what it'll do to the files already there, and undo anything from the activity log.
Questions
Can a Mac organize the Downloads folder automatically?+
Not on its own. Finder can group and sort the folder's view, and Automator Folder Actions can run scripts you build, but macOS has no built-in way to move new downloads into the right folders. A rule-based app like TidyFile does that in the background.
Is it safe to delete everything in Downloads?+
Usually not all of it: Downloads is often the only copy of invoices, tickets and documents. Delete old installers (.dmg and .pkg files) once the app is installed, and move everything else somewhere sensible.
Where do Safari and Chrome save downloads?+
Both use your Downloads folder by default. You can change it in Safari → Settings → General → File download location, or in Chrome → Settings → Downloads.
